Before You Start
Getting In
Log into Engage.
Click the TRS Caseload Management button.
You'll land on the Manage by Schools dashboard.
Two Tabs to Know
Manage by Schools — start here when thinking “which school needs…”
Manage by Mentors — start here when thinking “who is assigned to…”
Ground Rules
Concept | What to Remember |
Lead Mentor | Exactly one ELP Lead Mentor per school. Lead Mentors receive all assessment-related correspondence. They are automatically assigned to the director as well. |
Multiple Mentors | Directors and teachers can have more than one mentor. The Lead Mentor always appears first for the director. |
Sync | Changes here update the School Management page automatically, and vice versa. |
Offboarding | Removing a mentor from User Management also removes all of their Caseload Tool assignments. |
Common Tasks
Task 1 Find Schools Without a Lead Mentor
Open the Manage by Schools tab.
Expand the Filters panel.
Check Show Schools without a Lead Mentor.
Click Search.
The table now shows only schools with a blank ELP Lead Mentor. Continue with Task 2 or 3 to assign one.
Task 2 Assign a Lead Mentor to One School
In Manage by Schools, click the school name (or the pencil icon) to open School Details.
In the ELP Lead Mentor panel at the top, click Assign Lead Mentor (or Change if one is already set).
Select a mentor from the radio list.
Click Assign Lead Mentor (or Update if replacing).
Why this matters The new Lead Mentor is automatically added to the school's director. The School Management page stays in sync. |
Task 3 Assign the Same Mentor to Multiple Directors
In Manage by Schools, filter or search to narrow to the schools you want.
Check the boxes on the rows you want to update.
In the blue action bar that appears, choose a mentor from Select mentor for directors.
Click Assign to Directors.
For each school where the mentor doesn't match the current Lead Mentor, answer Update Lead Mentor or Skip.
Click Clear Selection when finished.
Task 4 Add or Change a Mentor for One Director or Teacher
Open the school's School Details (click the row).
Find the director or teacher in the staff table.
Click the person icon in the Actions column to open Assign Mentors.
To remove an existing mentor: click the × on the green badge.
To add: check one or more mentors and click Assign N Mentor(s).
Director prompt If the staff member is a Director and your selection differs from the current Lead Mentor, a prompt will ask whether to sync them. Choose Update Lead Mentor or Skip. |
Task 5 Assign One Mentor to Many Staff Inside a School
Open School Details for the school.
Check the boxes next to the director and/or teachers in the staff table.
An orange bulk bar appears. Pick the mentor from the dropdown.
Click Assign to Selected.
Note This bar assigns regular mentors only — it does not change the Lead Mentor. Use the green Lead Mentor panel for that. |
