How Do I Upload Teachers and Create Teacher Accounts Using the Teacher Template?

This article explains how to create teacher accounts in CLI Engage using the Teacher Template. This process suits communities, like school districts, with a central data system or staff managing data uploads for the entire community.

Note: Districts that use automated rostering should only create teacher accounts manually when needed. Account details must match the district’s rostering files so accounts remain active in CLI Engage after the files are submitted.

Prerequisites

You are logged in to CLI Engage with an administrator-level account.
You can see Class & Student Management in the Administrative Tools section. If you do not see this option, submit a help ticket.
You have each teacher’s name, email address, and school name.

Instructions

Find CLI Engage IDs

Central Roster Management tools use CLI Engage IDs to help prevent duplicate or incorrect records. The Teacher Template requires the Community/District CLI Engage ID and the School Engage ID.

You can find these IDs in two ways:

  • Look up the IDs in Community Management and School Management.

  • Export your community/district and school information.

Option 1: Look Up IDs in CLI Engage

  1. Select Class & Student Management under the teal Administrative Tools banner.

  2. On the left, find the Community Management and School Management tabs.

  3. Select Community Management.

  4. Enter your Community, then select Search.

  5. Next to your community or district name, select the green View button.

  6. Find the Engage ID in the upper-right corner. Community/District CLI Engage ID numbers start with EDS. Example: EDS1400238.

  7. Repeat these steps under School Management to find the School Engage ID for each school.

  8. School Engage ID numbers start with EDD. Example: EDD1400002.

Option 2: Export Community/District and School Information

  1. Select Class & Student Management under the teal Administrative Tools banner.

  2. Select Export on the left.

  3. Search for your community or district.

  4. Select these fields: Community Name, Community Engage ID, School Name, and School Engage ID.

  5. Scroll down and select Submit.

  6. You may choose whether to save your choices as a template. This step is optional.

  7. Look for an email from CLI Engage, then select Download or click the blue My Reports button to access the report link and download the requested report.

  8. A secure CLI Engage page will open. Select the file to download and open your export file.

Create Your Teacher Template File

  1. The Central Roster Management Teacher Tool uses a file template to create teachers for one or more schools in the same community or district.

  2. The template is an Excel file.

  3. The column headings must stay in the exact order shown in the template.

  4. Some fields, such as Engage IDs and phone numbers, require a specific format. This process is best for users with strong computer and Excel skills.

  5. Some columns are optional, but they must stay in the file. CLI Engage may not process the file if columns are deleted or moved.

    1. Do not delete optional columns.

    2. Do not change the order of any columns or edit column headings.

School names in CLI Engage come from several sources, including TEA and DFPS. Check how each school name appears in CLI Engage and use the matching CLI Engage ID. The school name and ID must match CLI Engage to avoid duplicate records or upload failures. For example, CLI Engage will not recognize Bush Elementary as the same school as Bush EL.

To follow HIPAA and FERPA data protection rules, do not send rosters or student information by email.

Understand the Teacher Template

  1. Download the Teacher Template.

  2. Review the Instructions tab for details about column headings and required formats.

Upload Teachers

Before you upload, complete your teacher template file by following the steps in this guide and reviewing the instructions tab attached to the teacher template file. Save and name your upload file using this format: [CommunityName]_[YourInitials]_DDMMYY.

  1. Select Class & Student Management under the teal Administrative Tools banner.

  2. Select the Central Roster Management tab.

  3. Select Teacher.

  4. Choose your completed teacher template file.

  5. For Send Invitation, select Send if you want CLI Engage to automatically email registration or login invitations to new users.

  6. Select Submit.

  7. Select the Play button to process the template.

  8. When the confirmation message appears, select Yes. The message says, “Do you want to continue?”

  9. Wait for the Status to change from Processing to Processed.

    1. If it still says Pending, click the Play button to process the template.

  10. To confirm the upload, go to the User Management tab and select Teacher to search for teacher accounts in CLI Engage.
