Use this guide when a principal or director is not appearing correctly in CLI Engage, cannot be selected in a tool, or needs to be connected to a school. This is especially helpful in School Management and Texas Rising Star workflows, where a missing principal/director connection can block assignments or limit access.

When to use this: If a director checkbox is grayed out in the Caseload Management Tool, or a school appears to be missing its principal/director connection, go to School Management and use Check for Principal Account.

Best practice: Before creating a new principal/director account, always verify whether the person already has an existing CLI Engage account. This helps prevent duplicate accounts.

Quick steps

  1. Log in to CLI Engage.

  2. Open Administrative Tools.

  3. Select Class & Student Management.

  4. Open School Management.

  5. Search for the school.

  6. Open or edit the school record.

  7. Click Check for Principal Account.

  8. Review whether a principal/director account is already associated with the school.

  9. If needed, create or update the principal/director account in User Management.

  10. Return to the school and confirm the account is now linked.

What the button does

The Check for Principal Account option confirms whether the school already has a principal/director account associated with it in CLI Engage. Several tools rely on this connection being in place.

  • If an account is linked: the principal/director should appear where the system expects a school leader account.

  • If an account is not linked: the user may not appear in School Management workflows, and some assignment options may remain unavailable.

A common example is the Texas Rising Star Caseload Management Tool. If you cannot select the Director for assignment and the checkbox is grayed out, the Director’s CLI Engage account is likely not yet associated with the school.

Detailed procedure

  1. Go to School Management
    From the dashboard, open Class & Student Management, then select School Management from the left-side menu.

  2. Find the school
    Search by school name, district/community, or other available search fields. Be sure to select the correct school record.

  3. Open the school record
    Click the school name or use the available open/edit action to view school details.

  4. Select Check for Principal Account
    Use the button or action labeled Check for Principal Account on the School Management page.

  5. Review the result
    The system should indicate whether a principal/director account is already tied to that school.

  6. Confirm the matching information
    The person’s name must match exactly as it appears in CLI Engage if they already have an account. The email listed must match the user’s primary email address on the account. The email address cannot be a shared email address.

  7. If no account is found, create or correct it
    Go to User Management and verify whether the user already exists. If not, create a new Principal/Director account. If the user exists but is tied to the wrong school, district, or account type, update the existing record through the appropriate process or submit a help ticket if needed.

  8. Return and verify
    Go back to School Management, run the check again if needed, and confirm the principal/director is now associated with the school.

If the account does not exist

If the principal or director does not yet have an account, create one in User Management.

Important: Use the email analyzer in User Management before creating a new account. If the user already has an existing CLI Engage account, do not create a duplicate.
