The assessor Assessor will call or email the director to introduce themselves and let them know what to expect on the day of the assessment. This information should include the following: 

  • The two-week visit window (with allowance for up to three dates blocked by the program) 

  • What the assessor Assessor will be doing while there 

  • The number of assessors Assessors that will be in attendance 

  • The number of days the assessment will last 

  • Discussion of the entrance and exit meeting 

  • Each classroom will be observed for one hour 

If the assessor’s Assessor’s Board permits it, he or she may request that the documentation for all structural requirements be sent before the assessment date for review (ideally 30–45 days before the visit). The assessor Assessor will explain to the director that this will give the assessor Assessor the opportunity to review the documents before the assessment and allow the site the opportunity to submit any missing documentation prior to the visit. Once received, the assessor Assessor will review for completion, inform the director of any missing documentation, and provide a due date. The director has the option to submit the missing documentation by the requested due date or produce it on-site at the assessment. If the Board does not request structural requirements documentation prior to the on-site visit, the assessor Assessor will explain to the director that documentation will be reviewed before beginning the classroom observations. Any points-based documentation can be reviewed at this time as well. If anything is missing from the structural requirements, the assessor Assessor will notify the director, and the director will have the opportunity to provide the missing information by the end of the assessment.
