Assessors will review the CLI Scheduler, GM Calendar and the schedule template for each assessment assigned every Friday morning (or sooner) and review the calendar again the day before the assessment in case of changes. In the event of a change in scheduling, the assessor Assessor will receive an Outlook Calendar notification to notify them of the change. The assessment assignments and schedules will be completed by the Logistics team – see Scheduling protocol 

Desk Review: The team Lead will look at the assessment assignment to contact the ELP and request the documentation for the desk review (documentation may have been uploaded in Engage by the Mentor (pre-assessment). During the call, the Assessor will introduce themselves as the Team Lead Assessor for the assessment and inform the director of the other Assessors visiting the program. If documentation is not available in Engage, ask the director to submit it prior to the 2-week assessment window. The Lead team Assessor will review and score category 1 and 3 prior to visiting the ELP. Any missing documentation will be reviewed on the day of the visit. 

The logistics staff will assign Texas Rising Star classrooms to Assessors in Engage under the Administrative Tools section.  Assessors assigned to observe will verify their name is displayed for each classroom assigned under the Texas Rising Star CLASS tab in Engage.  

The Team Lead Assessor will review the ELPs (Early Learning Program) Engage account under the pre-assessment section to determine if the parent and staff handbook and any other documentation that is available to begin scoring category 1 & 3 measures (this section is not applicable to Nationally Accredited Providers – note that Accreditation information must be confirmed by the Team Lead Assessor) prior to visiting the site. The team Lead Assessor will contact the Early Learning program (ELP) via phone to request those documents if they are not available in Engage. With the assistance of the Directordirector, complete the staff qualification and pre-assessment sheet. These documents will be uploaded to Engage under the pre-assessment section (as additional documents), under the school management page.   

The week before the site assessment, Assessors collect or print the FARF, tracking form and note-taking notetaking forms for the schools / classrooms assigned to assessorsAssessors.   

The Team Lead Assessor will collect or print the Assessment/Monitoring visit Report for the assessment assigned to them. 

The Team Lead Assessor will communicate via email with the Assessor team assigned to assist with the scheduled assessment, to remind them to arrive at the school site between 15 to 10 minutes before the scheduled time of assessment. The team will gather outside of the school and enter together.   

 If any of the assigned assessors Assessors is running late, they will notify the team lead.
