Re-screenings
Assessors will:
Re-screen ELPs 12-month licensing history with CCR by using the monitoring deficiencies feature in Engage at the end of the 6-month impact period.
If new deficiencies are found,
Determine if a new impact must be applied
Determine the type of impact
Complete the certified screening form according to the facility type
Screenshot the ELPs CCR history (visit the DFPS website and Search for Child Care Center or Home)
Create the new Texas Rising Star Impact Notice form (select the applicable impact)
Create an event log in Engage (see below) and save the completed screening, CCR history screenshot and completed impact notice form):
Texas Rising Star Probation – Probation A or B
Star Level Change – Star Level Drop Impact
Suspension – Suspension status
No longer participating – voluntary withdraw
Contact ELP by phone (use Confluence script) to inform them of the certification impact:
Share the Impact Notice form via email (use Confluence script)
Request for Impact Notice to be signed and returned to your WFS email within 2 business days (reach out to ELP if form was not received within provided period)
Create a monitoring deficiencies event log and upload the signed Impact Notice form
If no new deficiencies are found,
Create a general status event log in Engage under the ELPs Texas Rising Star Assessment 2.0 school account. Under comments, type “no deficiencies found.” ELP eligible to be lifted from the certification impact.
Update the Impact Notice form to include end of impact information.
Contact ELP by phone (use Confluence script) to inform them of the end of the impact to their program’s certification.
Email the Impact Notice form and request the director’s signature. The form should be returned within 2 business days. Reach out to the ELP if the form is not returned within the provided period.
Upload the signed Impact Notice form to the previously created event log.
Texas Rising Star Probation: Probation A or B ending
Star Level Change: Star Level Drop ending - create a new star level change and select the ELPs former star level, effective date of star level change and certification end date (the certification end date is the same form the most recent full assessment conducted)
If no impacting deficiencies are found, and total number of high and medium/high deficiencies does not exceed a total of 14 deficiencies, but the ELP has been cited for deficiencies that are not impacting their certification,
Create a monitoring deficiencies event log and add “no impacting deficiencies found.” Save the CCR screenshot.
NOTE: when creating event logs, choose to notify logistics team (scheduler alias email) and Mentor.
Create a reminder when applying a certification impact (at the end of the 6-month period).
In all instances, when screening, take a screenshot of the CCR website for every program and upload it into the Engage event log.
