Assessment Results Meeting

Once the results are generated and the Assessor and mentor have debriefed, the mentor will schedule an assessment result meeting with the director and/or program administrator. This meeting should be scheduled to occur within seven business days of the assessment/visit. The intent for this meeting is for the mentor to support the ELP in understanding the scoring and its results and discuss the supports that will be offered within the CQIP. This meeting can be conducted in person or virtually, via an online app such as Zoom or Teams. 

The mentor will discuss the scoring, how the overall star level is calculated, next steps (to include, but not be limited to, CQIP revisions, annual monitoring timeline, SIA implications, and quarterly screenings), and the reconsideration process. Depending on the program’s assessed star level, the mentor may discuss additional options the ELP has regarding a category reassessment and/or star-level evaluation. 

The Assessor can attend this meeting, however, should not discuss technical assistance for measures (for example, how the measure could receive a higher score) but can discuss what was observed that resulted in the score given. Thus, it is imperative that the Assessor ensure that scores are based on objective observations and that documented notes support the score. 

(Source: CAE) Assessors (team lead for each assessment) will schedule the debrief meeting with the Mentor (Review the school management page to determine the assigned Mentor) within 2 business days of the assessment being verified. The debrief meeting will be virtual. The Assessor will be responsible for reaching out to the Mentor to inform them that the assessment results have been finalized and offer a tentative date to debrief. The debrief will last approximately 30 minutes. The mentor’s email address can also be found in CLI Engage. Assessors will have access to the Mentor Directory which will include Mentor name, email address and work phone number.
